Digify is a secure data room system.  You upload documents to a cloud server and users can login to a data room to view them.  See How to use Digify.

Like all secure data room solutions, users can share login credentials with others and therefore your documents.

Is Digify Secure?

Digify security issues
  1. Data room login credentials can be shared with other users.
  2. Email verification links can be shared with others.
  3. Multiple users can login at the same time using the same login credentials.
  4. If printing is allowed then users can print to unprotected PDF files.
  5. Users can take high quality screenshots of document content using screen grabber tools.
  6. Downloaded files have NO protection applied to them.
  7. Watermarks in downloaded files can be easily removed with PDF editing software.
  8. Tracking data is for an email address.  Since email addresses can be shared with other users you have no idea who you are actually tracking (users can use a VPN to share the same IP).
  9. The browser environment provides weak security – it can be compromised (i.e. security removed) by plugins, JavaScript or debugging editors.
  10. Document tracking cannot be turned off – this could be a privacy concern for some users.

Digify usability issues

If you have a large number of users and documents the system can get quickly become unmanageable:

  1. You can only apply controls at the data room level – so all documents in the data room have the same settings.
  2. If you want different data rooms that people can access you have to re-upload the same files to each of those data rooms.
  3. You have to re-enter a user’s email address every time you want to share files with them, as well as create different data rooms for different groups of users.  There is no central place where you can manage users and groups.
  4. Document loading speeds for the Web Viewer is unusable for files 10MB and over.
  5. The Web Viewer is very basic – there is no search facility, annotations, bookmarks, etc.
  6. When you print from the Web Viewer, text is randomly lost, spacing is distorted, and paragraphs are can be faded and unreadable (it is a bitmap image you are printing).
  7. You can let users download PDF files and view and print them in Acrobat but they have NO protection – i.e. they are regular PDF files.
  8. The only dynamic watermark option available is the user’s email address.

Digify pricing: How expensive is Digify?

  1. With Digify you pay for the number of users viewing your documents, the storage space, and the number of data rooms, so costs can quickly add up.
  2. If you want a data room per user then costs become unmanagable very quickly.  You might want to have a data room per user for example if you want to have specific groups of documents for each user or have different expiry dates for each user.

    To open a protected PDF file a user has to:

    1. Have the Viewer installed on their device
    2. Activated their license

    2. When a user clicks on a link to activate their license, their user account (and therefore document access) is automatically locked to their device.
    3. Unique device information is securely stored on a server so that it cannot be removed or altered and can be checked at any stage.
    4. Once the link is pressed, the license is activated and consumed – so if the link is forwarded to other users it will not activate.
    5. Once users click on the license link, no further user interaction is required to view the documents you have authorized them to use.
    6. There are no useless passcodes for you or users to enter or email validation lists to manage or distribute.

  • Country locking

    Our country locking (allow or prevent your documents from being opened in specific countries) does not leave you having to figure out what country a user is located in.  Safeguard automatically picks up the user’s country location when they activate their license (and will automatically lock use to that location) so you don’t have to enter this.

    You can apply country locking at both the global and user level so you can stop all company employees from accessing documents from unauthorized countries but enable a specific user to do so if they are travelling on business.

  • Document Tracking

    You can track what documents users have viewed and printed.

    Because documents are locked to devices (rather than linked to an email address which anyone can enter), you can be fairly certain who you are tracking since users are unlikely to share their devices with others.

    You can stop BYOD use (so prevent use on mobile and tablet devices) and lock use to locations.

    You can turn tracking on and off and track individual documents.

How to use Digify

Here is a quick step by step guide to adding files.

  1. Login to Digify.
  2. Create a secure data room.
  3. Apply controls to the data room – watermark, expiry, print, download.  These controls are applied to ALL documents in the data room.
  4. Upload files to the data room.
  5. Give user(s) access to the data room.
  6. Repeat steps 1-4 for each data room you create.

DRM controls

Controls are set at the data room level – so all documents in a data room have exactly the same controls applied to them.

You can:

  • Set an expiry date and time
  • Allow downloading – this automatically enables printing
  • Allow printing
  • Apply a screen shield so users can only view a small portion of the document at a time

If you allow downloading then this creates an unprotected PDF file – in other words it removes all protection including tracking and expiry and printing is enabled.

If printing is enabled then users can print to unprotected PDF files.

If you want to set a different expiry date/time for each user for the same document then you have to create a unique data room for each document or user.

Watermarks

You can add watermarks to a dataroom – the same watermark is displayed on ALL documents in a data room.

  • The only dynamic data you can enter is the user’s email address.
  • Watermarks are retained in downloadable PDF files but can be removed using a PDF Editor.

Digify Login

Users must enter an email address and optionally a passkey (password) to open your documents.  You can also specify an allowed domain – this means that anyone from that domain (i.e. @gmail.com) is authorized to login to the data room.

With ‘additional email verification’ enabled, an additonal link is sent to the email address entered to prove they are the owner of it (or at least have access to the email account).  However there is nothing to stop users forwarding those links to others, or using a shared generic email address that is solely created and used to open Digify documents – so everyone logs into the same email account to access verification links rather than the email owner having to forward them.

Document Tracking

Document tracking is always enabled so that could be a privacy concern for some users or organizations.

You are only tracking what email address is being used to login to the data room with so you don’t know who the actual user really is since that information can be shared with others.  You may therefore not be tracking who you think you are.
